This information is for Member Associations that have an alternate Registration Period end date, and explains how to reassign the Valid To date or Registration Period that has automatically been assigned to a registration before it has been approved.


This information is only relevant if the Registration Periods configured for your Member Association include an alternate Valid To date.

Example: Registration Period: 2019; Valid From: 01 Jan. 2019; Valid To: 31 Dec 2019 OR 30 Apr 2020

In this example, the Association runs their amateur competitions from February to October and their professional competitions from July to April, but all registrations can be within the same 'Registration Period'.


If your Member Association has a Registration Period configured as described above, then the system will also be configured to automatically assign registrations to either one of the Valid To dates based on the Role/Level/Age Level/Gender of the registration.

This guide explains how to override the automated selection during approval of a registration.



1. Review the Work Task for the registration of a person by selecting 'View and Approve' in the MA dashboard



2. Select the 'Registration Details' tab




3. Select 'Edit' for Registration Period details




Only MA-level users can edit the Registration Period or Valid To date of a registration during approval.





4. Choose the correct Registration Period and Valid To date from the drop-down menus, then select 'Save'




The system will only allow you to edit the Registration Period or Valid To date of a registration if the Valid To date selected has not yet passed.

i.e. You must select a Valid To date that is relevant for the selected Registration Period and you cannot select a Valid To date that is in the past.


 

 

5. Select 'Back to Work Task' to finalise approving the registration


It is not possible for a user to edit the Registration Period or Valid To date of a registration after it has been approved.

Before approving every registration, the MA must take care to ensure that the Registration Period and Valid To date are correct.
