This information is to guide the Member Association on how to create a Representative for a competition within the Competition Management System.

When organizing a match between teams that include players or officials from another country who are not registered with your Member Association, you may need to manually create a Representative Team in FCMS. This process is typically used for one-off matches or when required by your association for administrative or competition setup purposes. For example, a friendly match against an international club like Chelsea. Since this entity is not part of your national registry, it must be manually created in the system.

Please note that manually created teams, players, and officials will not be assigned FIFA IDs, as they are not part of the global registration system.

1. Select Representative

From the menu on left-hand side, click on Representatives.

2. Create a New Representative

Under this tab, you can see all the Representative Clubs created in your environment. If you need to add a new one, click on Create Representative button.

3. Fill in the details

  • Title: Use your local language (if not English).

  • International Title: Enter the English name of the Representative Club.

  • Sports Type: Select the appropriate sport.

Once all the details have been entered, click on Create.

Once created, it will be displayed with the other Representative Clubs. Next step will be to create a logo. In order to do so, click on the view button on the right hand side of the representative.

Click on the camera icon to add the Club logo. If general information needs to be amended, click on the Edit button.

4. Add Teams
Navigate to the Teams tab and click Create Team. Enter the team’s name in both the local language and English, assign a 3-letter team code (e.g. U21), and select the appropriate sport and gender. Once complete, click Submit. Repeat this process as needed to add all relevant teams, such as the U19, Female team and others.

5. Add Members
Go to the Members tab and click Add Member. Choose a registered individual from the list, or create a new profile if needed. Assign the appropriate role (Football Player, Team Official), then click Add to complete the process. Repeat this process as needed to add all the team members.

6. Review Member Profile
Click View to open a member’s profile.

Within the profile, navigate through the Registrations and Statistics tabs to explore the member’s history.  To update any information, click Edit within the profile. This will redirect you to FIFA Connect if the member was originally registered there, as all editing of personal details must be done within that system.

7. Design Team Kits
Go to the Team Kits tab and click Create Kit Set.

Start by naming the kit set (e.g., Home Kit or Away Kit). Then select the type of layout for all jerseys, shorts, and socks (Solid, Stripes, or Checkered) using the drop-down list. Note that “P” stands for a plain background, and “S” indicates stripes. If needed, click on the Reserved Kit box to create an additional kit set (this is optional). Once everything is configured, click Save. The kits will appear in competitions later on.
